How to Choose Payroll Software for a Gambian Organization
Every organization with staff runs payroll, and many still do it in spreadsheets. That works until the headcount grows, someone leaves, or a tax rule changes. Choosing the right software is mostly about asking the right questions before you sign. This guide gives you five of them, written for employers in The Gambia.
Does it follow Gambian rules out of the box?
Payroll in The Gambia means income tax for GRA and social security for SSHFC, paid in dalasi. Software built for another country often needs heavy customization to produce the right schedules. Ask to see a sample income tax schedule and a sample SSHFC schedule from the system, not a promise that they can be built. Also check that tax brackets and social security settings can be changed by your own staff when the rules change.
Are HR and payroll one system?
Payroll is only as accurate as the employee data behind it. When HR records and payroll live in separate tools, promotions, postings, loans and exits have to be entered twice, and the two drift apart. A single system means a promotion approved by HR flows straight into the next pay run.
Who can approve what?
Payroll fraud and errors usually come from one person being able to create and approve the same change. Ask whether new employees, salary changes, leave corrections and loan repayments need a second person to approve. In a good system, the person who made a request can never approve it themselves.
What do your staff see?
A large share of HR work is answering the same questions: how many leave days do I have, where is my payslip, what is the status of my claim. A self-service portal lets staff apply for leave, view payslips, check loans and submit claims themselves. Look for one that works on phones, because that is where most staff will use it.
Who supports you after go-live?
Software is only useful if it keeps running and your team knows how to use it. Ask who will train your staff, who answers when a pay run goes wrong, and how quickly. A supplier in The Gambia can be on site, understands local practice, and does not need a different time zone to answer your call.
- Can it produce GRA income tax and SSHFC schedules, with settings your team can change?
- Do HR and payroll share one employee record?
- Does every sensitive change need a second person to approve it?
- Can staff apply for leave and view payslips themselves, on a phone?
- Who trains your team and supports you after go-live?
- Can it run on your own server, or in the cloud, whichever your policy requires?
Where to start
Make a short list of the questions above, add your own, and ask every supplier to answer them with a live demonstration using your own scenarios. Matrix HRMIS is built by Matrix Solutions in The Gambia and covers HR, payroll, leave, attendance, recruitment, insurance and benefits, and a staff self-service portal. If you would like to see it, request a demo on our Contact page.
